FEATURE INSTRUCTIONS

AUTO DIAL

Auto Dial allows the user of a digital telephone to have a feature key (button) on their telephone programmed to allow the user to set-up a single "speed dial number".

To Activate

  1. Leave receiver in place.
  2. Press the key (button)
  3. Enter the number to be called on the keypad
  4. Press the key (button) again to complete programming

To Use

Lift receiver

Press key (button) to place call.

CALL FORWARDING – INTERNAL / UNIVERSAL

This feature allows the user to program a telephone so the incoming  calls will automatically ring to another telephone.

To Activate

  • All analog lines and digital where Call Forward has been programmed to Key 1
  • Lift handset.
  • Listen for dial tone.

Dial 10.

  • Listen for special dial tone.
  • Dial number to which calls are to be forwarded.

To Cancel

  • Dial 11 to cancel.

To Use:

Analog Phones

  1. Dial 9.
  2. Immediately dial the 7 digits for off-campus local number.

NOTES:

  • Not all phones have this option.
  • Last 5 digits for campus number.
  • Notify the person to whom your calls will be forwarded before activating this feature.

Digital Phones - If Call Forwarding has been programmed by Telecom to a button (Key) other than Key 1

  1. Leave handset on hook.
  2. Press FORWARD button.
  3. Use key pad to dial number to which the calls will be forwarded.
  4. Press FORWARD button again, call is transferred.

CALL FORWARDING – REMOTE ACCESS

This feature allows an employee that is away from campus the ability to program their phone to forward all calls to another phone without having access to the actual phone.

To Set Up:

  1. Dial  618-453-2211
  2. Enter the phone number of the phone to be forwarded.
  3. Enter  PIN # -----This is the last 5 digits of your phone number.
  4. Press # or wait for the next prompt.
  5. Enter the code: "10" to forward and "11" to cancel forwarding.
  6. Press # or wait for the next prompt.
  7. Enter the phone number of the phone that will be receiving the forwarded calls. Remember to add a "9" in front of the number to forward to if it is an off-campus number
  8. Press # or wait for the next prompt.

CALL PARK

This feature is used when a call is received and the person is away from their desk or on the phone, the call can be placed in “orbit” where it can be answered from any station using the established code.  This feature allows the originating phone to be available for new incoming calls.

To Activate:

While the caller is on the line

  1. Depress the Button labeled LINK, FLASH, TAP or TRANSFER once.  If no button, use the Hook Switch.
  2. Listen for special dial tone.
  3. Dial the Call Park Activation code 16.
  4. Listen for confirmation tone.

To Retrieve

  1. From any station, lift handset.
  2. Listen for dial tone.
  3. Dial the Call Park Retrieval Code 17
  4. Listen for special dial tone.
  5. Dial the station number that was originally used to park the call.
  6. You are reconnected

NOTES:

Your telephone may be used to place and receive other calls while having a call parked.

When time-out occurs, the call will return to your line. If your line is busy at the recall time, the timer is reset for another three (3) minutes.

Only one call may be parked at one time on each station number.

CALL PICKUP

Call Pickup allows the user to answer incoming calls ringing on another station within a defined group by dialing ‘14’ at the dial tone.  If there is more than one phone ringing at one time, the first phone that received a call will be the one that is answered first.

To Activate:

  1. Lift handset.
  2. Listen for dial tone.
  3. Dial 14.
  4. The call is now connected to your telephone and conversation can take place.

NOTE: Call Pickup can NOT be used to answer intercom calls.

CALL PICKUP – DIRECTED

This feature allows the user to answer any ringing telephone, selectively answering within the user’s pickup group, or any other phone line.

To Activate:

  1. Lift handset.
  2. Listen for dial tone.
  3. Dial 15
  4. Immediately dial the 5-digit station number you wish to answer.
  5. The call is now connected to your telephone and conversation can begin.

NOTE: Call pickup cannot be used to answer Ring Again recalls.

CALL TRANSFER

This feature will allow a caller to be transferred to another phone number using a transfer key.

To Activate:

  1. Advise calling party that you are going to transfer the call.
  2. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.
  3. If no button, use the Hook Switch.
  4. Listen for special dial tone.
  5. Dial the 5-digit station number.
  6. When party answers, announce transfer.
  7. Replace handset.

If busy or no answer:

  1. Depress the Button labeled LINK, FLASH, TAP or TRANSFER TWICE.  If no button use the Hook Switch.
  2. You are reconnected to the original party.

NOTE: Transfers can only be made to another campus number.

CALL WAITING

This feature will allow an incoming call to register on the phone display to allow the busy station to either answer the call or to allow the call to be forwarded to a voicemail box.

Two methods may be used to respond to a Call Waiting tone heard during conversation.

Method #1 - To answer a new call:

  1. Depress the Button labeled LINK, FLASH, TAP or TRANSFER once. If no button, use the Hook Switch.
  2. Dial 21.  The first call will be put on hold.
  3. Talk to the incoming caller.
  4. Depress the Button (or Hook Switch) and dial 21 to alternate between callers.

Method #2 – Abandon the current caller:

  1. Replace the handset hanging up with the current caller.
  2. Your telephone rings.
  3. Lift the handset to converse with the new caller.

NOTES:

On digital phones the call waiting feature may be designated to any key (button) other than Key 1.

Call Waiting overrides Busy & CFB (Call Forward Busy to a mailbox, etc.)

CALL WAITING – DEACTIVATE PER CALL

Call Waiting can be temporarily turned off.

To Activate:

  1. Dial *70 before dialing the telephone number the user is calling.When this call is completed, call waiting will automatically be re-activated.

NOTES:

This de-activation should be used when using a dial-up internet connection on a line with call waiting.

Example:  Dial-Up number is 123-4567; when setting up the dial-up connection on computer the number should be entered as *70 + 123-4567.

If the call waiting is not de-activated and the user receives a call while they are on-line, their dial-up connection may be terminated.

CONFERENCE CALL – 6-WAY

All administrative phones automatically have this feature to set-up a 6-way conference call.  The conference call can only include 2 off-campus contacts.  The rest of the contacts have to be located on-campus.

To Activate:

  1. Lift handset.
  2. Dial the telephone number of the first conferee.
  3. Notify party of the conference.
  4. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.  If no button, use the Hook Switch.
  5. Listen for dial tone.Dial 12.
  6. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.  If no button, use the Hook Switch.
  7. Listen for dial tone.
  8. Dial the telephone of the next conferee (when conferee answers and agrees to be added to the conference call)
  9. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.  If no button, use the Hook Switch.
  10. Listen for confirmation tone.
  11. Dial 12 again.

*Repeat steps 5-8 to add additional conferees to a maximum of 6.

To Reject:

  1. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.  If no button, use the Hook Switch.
  2. Listen for the tone.
  3. Dial 13 for the Conference Call Release.
  4. Dial 12 to reconnect to the conference OR dial the number of the next conferee.

NOTE: Only two off-campus calls are permitted using this feature.

A short tone is generated each time a conferee joins the conference and whenever one goes off-hook to leave the conference.

A Polycom can be rented for $35.00/day for other conference calls that include more off-campus contacts.

GROUP INTERCOM

This feature allows you to call, using abbreviated dialing, another member of a designated group.

To Activate:

  1. Lift handset.
  2. Listen for dial tone.
  3. Dial # plus the one or two digit intercom number that has been assigned to the stations within the intercom group.

(EXAMPLE:  #18)

To respond:

  1. Lift Handset.
  2. Answer call.

MUSIC ON HOLD

This feature allows the caller to hear music when a phone has put the caller on hold.  It is currently the “Saluki Fight Song”.

DIGITAL PHONES

Digital phones will automatically have Music on Hold programmed on the phone line.

ANALOG PHONES

To Activate:

  1. Advise the caller to hold.
  2. Press Link, Flash, or Hookswitch.
  3. Listen for dial tone.
  4. Dial 20.
  5. Hang up.

PHONE NUMBER IDENTIFICATION

Any phone on campus can be identified by dialing 60049.  An automated voice will identify what the phone number is associated with that jack.

REDIAL – LAST NUMBER

This feature is available on both digital and analog phone sets.

Redial can be used to call the last number dialed to local off-campus numbers, 800 numbers, cell phone numbers, and Pilot number for hunt groups.

To Activate:

Press #  # or the Redial feature key designated on the telephone set.

NOTES: If a long distance number was the last number dialed, redial the Authorization Code, then depress the specific feature key or # #.

RING AGAIN

This feature allows the caller, when reaching a busy signal, to program the telephone to call (Ring Again) when the busy station is idle.

To Activate:

  1. Listen for busy signal.
  2. Depress the Button labeled LINK, FLASH, TAP or TRANSFER.  If no button, use the Hook Switch.
  3. Dial 19.
  4. Listen for a confirmation tone, which will consist of several beeps.
  5. Replace handset.

To Deactivate:

  1. Lift handset.
  2. Listen for dial tone.
  3. Dial 19.
  4. Listen for a confirmation tone.
  5. Replace handset.

NOTES: If a Ring Again request is active, and the caller contacts another busy station, activating Ring Again for this new station will override the original request.

This feature will not work for off-campus numbers, Pilot numbers for hunt groups, 800 numbers, or cell phone numbers.

SPEED CALL – LONG LIST

This feature is added to the phone line when it is part of a Speed Call Group. The feature will allow the department to assign index codes to 50 phone numbers that would be called on a regular basis.

The Speed Call feature must be programmed on the phone line before the dept can assign the index codes, or start programming the phone numbers into the speed call list.

To Activate:

Dial star (*) then the index code (00-49) + #.

(EXAMPLE:  *08#)

To Add or Change speed call numbers:

  1. Dial 25.
  2. Listen for special dial tone.
  3. Dial index code for the stored telephone number (00-49).
  4. Dial the telephone number to be stored + #.
  5. Listen for confirmation tone.

NOTE: Additions and Changes can only be made from the controlling phone.

To Delete speed call numbers:

  1. Dial 25.
  2. Listen for special tone.
  3. Dial the index code for the stored number you want to delete.
  4. Press #.
  5. Listen for confirmation tone.

NOTE: Deletions can only be made from the controlling phone.

SPEED CALL – SHORT LIST

This feature will allow the user to assign index codes (0-9) to phone numbers that would be called on a regular basis.  This list of numbers is programmed only on the one phone.  The list cannot be accessed by any other phone.

This feature is also known as the "Short Speed Call List" or "Individual Speed Call List".

To Activate or Change:

  1. Dial 24.
  2. Listen for special dial tone.
  3. Dial index code for the stored telephone number (0-9).
  4. Dial the telephone number to be stored +  #.
  5. Listen for confirmation tone.

To Use:

  1. Dial star (*) then the index code (0-9) + #.

To Delete:

  1. Dial 24.
  2. Listen for special tone.
  3. Dial the index code for the stored number you want to delete. Press pound #.
  4. Listen for confirmation tone.
